Receipt scanner expense tracker: how it works and where it fails
Scanning a receipt saves you typing the total. It is also the part of an expense tracker most likely to be slightly wrong. This is how it works, what to check, and what happens to the photo.
What a receipt scanner does
You photograph a receipt. The app sends the image to a model that reads the text on it, and gives you back an expense with the total filled in. You look at it, fix anything that is off and save. That is the whole job, and its value is in the seconds saved on days when you have several receipts in your pocket.
Where scanning goes wrong
Receipts are a hard input. Thermal paper fades, gets creased and curls. Photographs are taken at an angle, under bad light, with a thumb in the corner. A few failures are common enough to expect:
- A faded or crumpled receipt where the total is read as a different number.
- Receipts with several totals, such as subtotal, tax, service charge and the grand total, where the wrong one is picked.
- Handwritten notes and very small print.
- Foreign currencies or mixed languages, where the currency symbol is missed.
What to check before you save
Treat the scan as a draft. Look at three things every time: the amount against the grand total on the paper, the currency, and the date. It takes a few seconds, and those are the three fields that cause trouble later, because a wrong amount quietly skews a month of budget numbers.
If the scan is wrong more than once for the same shop, type the entry yourself. Typing is always available and is not rationed.
What happens to the photo
A scan needs an AI model, so the image has to leave your phone to be read. In Clove Ai, receipt scanning is an AI feature: it is off until you turn the AI on, and the image is sent to a third-party AI provider in the United States to be read. It is not used to train anyone's model. The Privacy Policy has the detail.
If you would rather not send receipt photos anywhere, leave the AI off and enter the total by hand. Nothing else in the app depends on it.
Receipts you do not need to scan
Scanning is worth it for paper receipts with a total you would otherwise type. For a card tap you will forget in an hour, writing "coffee 25k" in plain words is faster than finding the receipt. For a long grocery receipt you only need the total of, scanning works. For anything that matters for tax or a refund, keep the paper or the original photo yourself; the app records the expense, not the document.
A routine that keeps scanned data clean
Scan on the day, while the receipt is still flat and readable. Look at the amount, currency and date before you save, and pick the right category if the suggestion is off. Keep the paper until you have checked the entry, then throw it away or file it, depending on whether you may need it as proof.
At the end of the month, add up the paper receipts you kept and compare the figure with your total for that category. A big gap usually means a few receipts were never scanned, or one was read wrongly, and finding it takes minutes rather than hours.
How scanning works in Clove Ai
On the Basic plan, receipt scanning runs on a daily allowance together with AI chat, so it is not unlimited. Pro raises the allowance. The result lands as a normal expense you can edit or delete. If you do not like a scanned entry, the history lets you undo it.
